A little more than six years ago, ClearFuze CEO Jason Gilbert realized he needed to change how his company operated. A large percentage of ClearFuze’s clients now have cross-platform environments, which “is becoming more commonplace in the workplace, especially in creative-oriented businesses,” Gilbert explained. Though the team is very familiar with Microsoft Azure and deploying Active Directory or having servers in-house and doing domain controllers, ClearFuze wanted to stop playing catch-up and finding solutions to piecemeal together.

“We wanted to have a standard stack to deploy across our entire client base,” Gilbert said. By doing so, the MSP operates more efficiently, enabling them to get clients up and running faster while increasing profitability.

Recently, ClearFuze has been helping a significant manufacturing client move 150 users to JumpCloud from scratch, and JumpCloud was instrumental in simplifying the undertaking.

“They’re having zero issues,” Gilbert said. “It’s going extremely smoothly, and most of that is because of JumpCloud.”

2. Policy management made easy

ClearFuze has been working on security-focused policy management in the age of high-profile data breaches. Currently, they’re focused on things like full-disc encryption, making sure policies are pushed with screen lockout times, HIPAA compliance, and things of that nature.

“If you have to do it manually, it’s a ton of steps, and you have to confirm and QA it,” Gilbert said. “If you do it with JumpCloud, it’s a lot easier.”

3. A true partnership

As an MSP, ClearFuze is interested in developing great partnerships with vendors. To this end, they care a great deal about the level of support a vendor offers.

On this front, JumpCloud has been tremendous.

“The support has been great,” Gilbert explained. “The team members that I’ve worked with have been very personable, willing to find solutions, and come up with lucrative things for both sides.”

“Building that rapport goes a long way,” Gilbert said.

4. Leveraging the power of the cloud

Due to JumpCloud’s cloud-based nature, ClearFuze doesn’t have to install any on-prem infrastructure for its clients to take advantage of the MDM solution — a significant boon for the MSP.

“We try to limit the amount of infrastructure implemented on any client site because it’s another potentiality for something to go wrong and us having to run out there and solve it when systems are down,” Gilbert said. “So, cloud infrastructure and SaaS applications are huge because of margins. There’s less downtime and potential points of failure.”

Looking ahead, ClearFuze is working on delivering even higher levels of security by running 802.1X for clients as a default. They’re also looking into single sign-on through JumpCloud because they’ve had a lot of requests for it. Additionally, the consultancy is looking to host some of its solutions on Azure and AWS and focus more on internal dev work.

Independent Mission Community Hospital Weathers COVID-19 Pandemic Under ClearONE Solutions Umbrella

Mission Community Hospital (MCH), founded in the 1960s, is a respected institution in the San Fernando Valley. With $120 million in annual revenue, Mission Community Hospital has 145 patient beds (75 medical/surgical beds, 10 critical care beds and 60 beds for psychiatric care), along with two semi-permanent ER structures on the grounds with space for an additional 34 patients in need of alternative care. Licensed services available include surgical, orthopedic, oncology, urology, gastroenterology and neurology. Closed temporarily for rebuilding after the 1994 Northridge earthquake, today the hospital has 850 staff on the books and serves clients from across the state.

Healthcare IT Company ClearFuze Brought On Board

Mission Community Hospital CEO Jim Theiring was introduced to ClearFuze in 2019 when the hospital needed assistance with its IT systems. “We were looking for some stability in the IT department from a leadership perspective,” says Theiring. Originally brought in as a consultant, ClearFuze CEO Jason Gilbert became the hospital’s CIO, and now oversees the 7-person in-house team. “The ClearFuze team’s background in healthcare and healthcare clientele helped a great deal with implementation of ClearONE at Mission Community Hospital,” says Gilbert. “We were tasked with critical network and server issues at first. And now we provide strategic, comprehensive IT services across all platforms.” 

Pre-Pandemic IT Managed Services 

Beginning in March of 2019, ClearFuze took a close look at necessary process implementation, ran an overhaul of the technical IT infrastructure (which was aging and not functioning well) and met important compliance demands. “As it turns out, there were a lot of upgrades that weren’t done, and Jason and his ClearFuze crew came in and got us on track. A lot of important software and programs for the hospital were at stake,” says Theiring. Quick steps were also taken to update security measures to protect the hospital’s sensitive medical records.

Process and Platform Improvements

The electronic medical records software used by the hospital, along with scheduling and management systems, were in need of upgrades. 

Paragon Allscripts Electronic Health Records (EHR) Platform: The primary EHR system for Mission Community Hospital was not up-to-date when ClearFuze came on board. “What they really did was get us current. We were several versions behind, and it was critical to be able to utilize Paragon to its fullest extent and make sure we were fully in compliance,” Theiring states. 

McKesson OneContent Data Management System: Better flow and management of documentation was achieved with the latest version of OneContent.

Phillips Carestream Medical Imaging System: Upgrades were required for connectivity and updated operations. 

NurseGrid Scheduling: This nurse scheduling management platform made it possible for users to easily trade shifts and manage labor, and the hospital saved a significant amount of money on potentially mismanaged scheduling. “It took us from an absolute manual pencil-and-grid scheduling system to an electronic system that could be accessed anywhere by the staff. They could see their shifts, we could send out notices on open shifts and people could fill open slots without having to start making phone calls to every nurse. It made a very labor-intensive process much easier,” says Theiring.

IT Vendor Contracts: Theiring explains that ClearFuze simplified and clarified relationships with external IT vendors. This saved MCH significant money on overlooked unnecessary expenses. “We needed them to go over our contracts as they related to IT. Whether they could be done cheaper or more efficiently.” 

He adds with all of their platforms and processes, it was necessary to be better prepared for worst-case scenarios. “In the event that the unexpected happened to someone in IT, continuity plans had to be in place. Did we have all of the information we needed to continue operations and keep the hospital stable and thriving?”

Consolidating and Improving the IT Stack

A hardware overhaul was needed to create a hybrid cloud structure for MCH on the ClearONE management platform

“They started out with 247 virtual servers in a hospital with 145 beds,” notes Gilbert. “We moved them entirely to new hyperconverged infrastructure: VMware vSAN compute and storage (VMWare 7.0). Now, they run on 80 virtual production servers. Cloud is used offsite for continuity. So if every in-house server fails, cloud backup can fire everything back up in under 10 minutes. That’s how a hospital needs to be run because these systems are so critical to patient health and safety.” 

Theiring agrees. Cloud-based electronic medical records (EMRs) now work well for the team. “Being able to provide a safe, solid, stable network for our staff to input medical records electronically – It’s just critical to be up and running. A lack of connectivity results in a cumbersome manual charting process that is very inefficient.”

Meeting Hospital Compliance Needs

Hospital compliance was brought up to date for HIPAA, The Joint Commission and the CMS Meaningful Use (MU3) Program. Policies and procedures were reviewed and made current, which means reimbursement from Medicare/Medicaid could be acquired.

Critical Security Measures

Security was another immediate concern. ClearFuze addressed the following:

  • Firewalls: Palo Alto firewalls were implemented to manage all external connectivity
  • Screen lockouts
  • Password complexity: multiple platforms were unified so that each employee wouldn’t need a long list of passwords for access
  • Multi-Factor Authentication (MFA)
  • Centralized security information event management (SIEM) system
  • Better overall tracking of risks and threats

The 2020 Shift to Tackle COVID-19 

When the pandemic hit Los Angeles County in full force in the spring of 2020, Mission Community Hospital needed more space. 

The ClearFuze team worked hand-in-hand with MCH as a section not used for patients for 20 years was reactivated. “It was critical to have ClearFuze’s leadership,” says Theiring. “We were put in a position we’d never been in before. Every day brought something new. We transformed space that hadn’t been used for patient care since the Northridge Earthquake, 2 full floors that hadn’t been used since 1994. We have since transformed them into a 13-room ICU extension. The floor above that also had to be turned into usable medical space. And none of this area had the necessary IT infrastructure. ClearFuze was instrumental in putting a telemetry system in place, computers, phones, nurse call systems. We had to convert these meeting rooms and office spaces back into patient rooms in a very short period of time. And as it turns out, we used every single one of those rooms for months to help people survive COVID-19.” 

Staff was realigned to deal with the influx of COVID patients. The new telemetry system required its own wireless antennas and its own independent network, which meant a lot of cabling and a monitor tech on duty 24/7. The telemetry system is used for COVID patients wearing wireless monitors constantly checking vitals and oxygen levels. 

Two semi-permanent emergency department tents were built with help from the Army Corp of Engineers. “One is by the front entrance and the other is by the ER. Both keep the hospital ready to go in case of another potential surge,” says Gilbert. Each needed to be fully wired and equipped with phone lines, fire alarms, sprinkler systems and their own telemetry connectivity—not to mention PA systems. These alternative care facilities have 24 beds and 10 beds, respectively.  

Vaccine distribution was another challenge where ClearFuze stepped in. “Something we had to tackle with COVID was vaccination vials and how many people we could vaccinate with each vial. We were lining up our supply and demand daily so that everyone who signed up got vaccinated and nothing ever went to waste,” adds Gilbert. 

There was little the ClearFuze team did not impact in the hospital leading up to and during the pandemic. “They touch on all of our systems, from our main electronic health records all the way down to the phone system,” says Theiring. “Working with ClearFuze moving forward will enable us to spend more time treating our patients. It will allow us to have better overall patient care. Those great outcomes will be easier to achieve.”

Theiring continues, “Our patient care is better because we can spend more time on each person who comes through our doors. Respected LA Architects Grow With IT Managed Services From ClearFuze

Less than a decade ago, Woods + Dangaran was a two-man operation working out of a small LA office. Brett Woods and Joseph Dangaran were established architecture experts who knew that in order to grow their new business, they required network support and the right technologies to scale. This first-generation startup was looking for something turnkey that could give them the structure they required. “We needed someone who understood technology, understood security and spoke the language of architects,” says Brett Woods.

He continues, “We were a new company and knew we needed more infrastructure from a technology standpoint.” In 2013, the pair was referred to Jason Gilbert, CEO and Founder of ClearFuze. “We reached out to Jason, who came and gave us a presentation and showed us everything ClearFuze can do.” Their initial ask was for help in handling emails, computers, business VoIP phones and a number of complicated technological needs for architects who utilize data-heavy processes and work with huge, sensitive files. One who could help us as our company grew, and could develop the right security and technology protocols. That has proven to be the case,” says Woods. 

In 2018, the partnership took a big step forward when Woods + Dangaran signed on for ClearONE from ClearFuze, just as the architectural company was moving into a new Mid-City office that also served as a studio and design space for prospective clients. With interior designers, architects and an office manager now on the roster, they were open to placing all of their IT needs under the ClearONE scope. “Woods + Dangaran was so enthusiastic about it on the spot and said, ‘Absolutely, let’s do it.’ They saw the value that ClearONE would bring,” says ClearFuze CEO Jason Gilbert. “We knew their top concerns: solid high-CAD computers, high-speed data processing, a cloud-based stack, comprehensive security and responsive customer service. So ClearONE was a no-brainer for them.”

Woods says three years later he remains a big fan of ClearONE and how it removes daily micromanagement of IT from his plate. “From a business standpoint, I think it’s really smart because it’s scalable, but from a client standpoint, I’m obsessed with it.” He says it felt like going from receiving IT services as needed to gaining their own personal IT support team in the office. “It became more personalized and now whenever I pick up the phone I can get an answer to my problem, or have a new employee set up for onboarding.” Gilbert says putting Woods + Dangaran on ClearONE meant they no longer had to worry about issues such as getting billed by the hour and could focus on the big picture. “Now they can call us as much as they want and we will help them. Architects working on multiple high-stakes projects simultaneously have very specific technology needs, which grew even more complicated when the pandemic forced the Woods + Dangaran team to work remotely for 11 months. “ClearFuze afforded us the flexibility to be able to work remotely. The technology is there and with their help we were able to transition out of the office for a time because we had to do so,” explains Woods. While it wasn’t their ideal setup to go remote, the transition was seamless.

Below is a closer look at the systems and applications put into place by ClearFuze. “ClearONE is a living, breathing solution and we add features to it all the time. We continue to evolve and scale our ClearONE platform and security in the best interest of our clients,” says Gilbert.

Moving to the Cloud

All ClearONE clients receive the standard network stack—whatever is required for their environment. Network firewalls, switches and wireless access points are all ClearONE cloud-managed equipment. Gilbert says he also set up hybrid cloud storage devices for the architectural team. “We tend to do that with architects because their data needs are pretty intense. It’s works as a replica that syncs its data up to the cloud.” And when the architects went remote, Gilbert rolled their projects into a cloud product that allowed them to collaborate even when they worked from their living rooms. “Any equipment that they need, we will roll into a ClearONE package. So if anything goes wrong with that equipment, it’s covered. We also refresh the equipment every three years. So they’re never running on old systems.” 

The hardware included in ClearONE also covers computers. “We maintain a fleet of machines across all of our clients. We have business desktops, finance desktops, or laptops of either. There are CAD workstations and then high-CAD workstations. A high-CAD is a machine that’s used for rendering. These are used by the Woods + Dangaran team.” If a workstation at Woods + Dangaran fails, a replacement is sitting in ClearONE inventory and can be brought to them immediately to swap out at no additional charge.

AutoCAD

AutoCAD by AutoDesk is a favorite architect project management software option for many in the industry. ClearONE helps to maintain the individual licenses required for full CAD (computer-aided design) software support.

A Better IT Experience with the ClearONE Solution from ClearFuze

Help Needed! Personal Injury Law Firm Randolph & Associates, APC Gets IT Upgrade

In 2019, Randolph & Associates, APC Office Manager, Christina Arganda, was searching for new IT options. The Santa Monica personal injury law firm was paying a great deal of money for managed IT services and not getting much in return. 

The law firm was doing well and was actively involved in the community, with 20 staffers on board and a strong roster of legal clients. Most of their clients are personal injury cases, while others need help with business litigation. This required active channels of communication to be open at all times between Randolph & Associates lawyers, paralegals, other staff and their customers. 

Their managed service provider, however, was failing them. “We had a company that felt outdated; they couldn’t keep up with us,” explains Arganda. “They had an old server that wasn’t cloud-based, we weren’t getting quick enough responses on our tickets and they did some management for us, but it wasn’t full service.” Arganda says their in-house server was very slow and crashing frequently and they were afraid of data loss. For a service business, their data is their livelihood. Any threats to its safety had to be taken seriously. That wasn’t all. Their phone system and computers were also old and outdated, and their wireless network was unstable. But their requests for fast and affordable upgrades went unanswered.

ClearFuze contacted Arganda and offered to provide a free ClearONE assessment of Randolph & Associates IT needs. Arganda had interviewed 3 other MSP options and was not impressed. Her immediate impression was that ClearFuze was different. “ClearFuze was very friendly and passionate about what they could do to help us. So, I said yes to the free audit.”

Because Randolph & Associates needed IT and project management help across the board, they were a perfect candidate for ClearONE, with a streamlined process and pricing structure within the right range for a small legal firm. 

“When we took a holistic look at the company’s IT challenges and evaluated them for ClearONE, what was happening at Randolph & Associates checked every box. They were having issues with all of their established systems,” states ClearFuze Founder and CEO, Jason Gilbert. “The value-add we could offer them with their business processes was clear.”

ClearFuze Closes the Gaps & Gets Law Firm Working Remotely

There were a number of problems that ClearFuze addressed immediately for Randolph & Associates. 

Old law office management software was running on old servers, which were still located in-house instead of on the cloud. Their wireless network had poor connectivity. Security was insufficient. The computers and phones were also several years old and outdated. Their software also wasn’t a good fit for productivity or for their specific needs in the legal field. “According to the employees at Randolph & Associates, everything was running very slowly,” notes Gilbert. “We needed to help them get up to speed with cloud-based solutions and new technology that increased their efficiency and competitiveness in the Los Angeles market.” 

Results:

Cloud-based Server: ClearFuze implemented across-the-board cloud-managed equipment. Access points, firewalls, servers and switches are all now cloud solutions, actively monitored and managed. This increased the speed and value of the new hardware and allowed for better controlled costs for everything from installation to upgrades.

From TrialWorks to CasePeer: Only 7 of the staffers in the Randolph & Associates offices were using TrialWorks when ClearFuze signed on, and case and trial processing was different for every single member of the firm. This eliminated the opportunity for streamlined workflows within their legal practice management system. The recommendation to switch to CasePeer meant that company lawyers were able to utilize software designed specifically for personal injury casework. CasePeer prompts all questions and carries cases through from beginning to end, sending out requests and filing documents in an automated fashion.

Microsoft 365: The firm was undergoing a name change at the time of their MSP switch. ClearFuze switched out email addresses and got every staffer a subscription to Microsoft 365 for access to the best productivity tools in the market.

Quickbooks Online: Bookkeeping was moved from Intuit Quickbooks Desktop to Intuit Quickbooks Online, an excellent tool for handling accounting.

New Computers: Computers older than five years were swapped out by ClearFuze so that each team member was working on a current PC or laptop and could transition more easily to remote work as needed.

VoIP Business Phone System: Randolph & Associates, APC was working with a very old phone system and having frequent issues with their service provider Frontier including repeated outages. The new Voice over Internet Protocol (VoIP) phone system saved money instantly, eliminated the issue of outages and enabled quicker remote work—with office calls connected seamlessly to cell phones.

Security Measures

  • Cloud-to-cloud SaaS backup (software is backed up and protected)
  • Firewalls (security across cloud, mobile and wireless networks)
  • Two-factor authentication with staff and manager cell phones
  • Cloud authentication (security breaches trigger immediate alerts for the ClearFuze team)
  • End-point encryption (devices included staff laptops and cell phones are encrypted to block any potential malicious activity)
  • Domain name system (DNS) filtering (cuts phishing and ransomware threats)

Going 100% Remote: When the COVID-19 pandemic hit ClearFuze was able to transition every Randolph & Associates staff member to remote work without disrupting or disturbing client needs. This also enabled the firm to shut down their main offices in Santa Monica and transition to a smaller space, saving thousands in operational costs.

“We revolutionized how they function as a firm,” says Gilbert. “It was necessary—the security risks were substantial because of how their business could have been taken down at the time.” 

Today, Randolph & Associates, APC has safely and securely transitioned to a lighter, more effective workforce, all working remotely without the worry of constant problems with their IT. They are able to do more with fewer people. ClearFuze closed the gaps on their managed and professional services—allowing the business to thrive even during a pandemic.

About the Client: Founded in 1978, Randolph & Associates, APC  is a personal injury law firm serving communities in Los Angeles, Riverside (including Coachella Valley) and San Bernardino counties. They have a main office in Santa Monica, and two satellite locations in Rancho Cucamonga and Palm Desert. As a full-service trial firm, they work on cases spanning from vehicle and construction site accidents to elder abuse, sexual assault, and wrongful death cases.

ClearFuze took the time to thoroughly understand Randolph & Associates, APC, and their needs. They implemented a tailored managed services offering, including the replacement of their old, ineffective platform. Old software running on old servers was switched out.
